COVID-19 safety plan

1. How do we ensure all Members know how and are able to keep themselves safe from exposure to COVID-19?

  • The Club will ensure its procedures are up to date by regular review of Ministry of Health, regional Public Health, and government of Ontario guidance.
  • New or changing information, including resources for social or mental support, will be communicated to members via email, posted notices in club meetings and activities.
  • New or changing information will be communicated to members via email, posted notices on the Club website and meeting reminders.
  • New or changing information will be communicated to those entering club meetings and activities via posted notices and using government of Ontario resources.

2. How do we screen for COVID-19?

  • Ensure the fully vaccinated status (for at least 14 days) of anyone participating in a club meeting or activity.
  • Basic contact information about all attendees at all meetings and activities will be captured and kept for 30 days.
  • Ensure our screening guidelines and symptoms lists are up to date by regular review of Ministry of Health, regional Public Health, and government of Ontario guidance by the Club.
  • To find out if the member is well when they come to a meeting or activity, the member must complete active screening by asking the member basic questions about their physical health and symptoms using the provincial list of COVID-19 symptoms before they are permitted to enter the meeting hall or activity.
  • Signage will be posted at the entry point to the meeting hall or activity listing the screening questions.
  • The club meetings and activities contact for any questions regarding screening is any member of the Management Committee.

3. How do we control the risk of transmission in your club meetings and activities?

  • Members must wear a mask at all times in all common areas (meeting hall, hallways, elevators, bathrooms, stairwells, etc.), except when eating or drinking or when seated 2 meters apart at a table in the meeting hall
  • Hand sanitizer is available at several locations in the meeting hall
  • Floor markings will designate 2 meter spacing for any lineups

4. What will we do if there is a potential case, or suspected exposure to, COVID-19 at your club meetings and activities?

  • When a member acknowledges symptoms at a club meeting or activity or informs that they have had close contact with someone with symptoms, they will be asked to go home immediately, self-isolate and take the online self-assessment. They will be asked to follow any recommendations of the self-assessment. Should the member test positive for COVID-19, the Waterloo Region Public Health Unit will be called, and any necessary recommendations will be followed. Members will be informed if they may have been exposed (date/time/place) without revealing the identity of the infectious person.
  • If a Member is diagnosed with COVID-19 within two weeks of attending an in-hall meeting or activity, he must advise a member of the Management Committee. Members will be informed if they may have been exposed.

  • A member who has had close contact with someone known to have COVID-19 should self-isolate for 14 days and may return to a meeting or activity if asymptomatic after 14 days, or when advised by Public Health.
  • A member with COVID-19 symptoms should self-isolate for 14 days and may return to a meeting or activity once symptoms have improved or when advised by Public Health.

5. How will we manage any new risks caused by changes to the way you operate club meetings and activities?

  • We will ask members for feedback on any changes
  • Considerations will be made on an individual member basis if necessary.

6. How will we make sure our plan is working?

  • We will ask members once a month for any input or feedback on the plan.
  • New versions of the plan will be created as new information is available.
  • Any new versions of the plan will be communicated to the member by email, posted notices in club meetings and activities.
